Natalie Braine Connect CommV is the data controller responsible for the processing of personal data described in this Privacy Notice.

If you have any questions about your personal data or this Privacy Notice, please contact us using the details above.

2. What personal data do we process?

Depending on how you interact with The House of Braine, we may process:

your name, position, organisation and contact details;

information you provide through a contact, intake, order or enquiry form;

correspondence and information relating to your enquiry, order or assignment;

invoicing, transaction and payment information;

documents and professional information you provide for a review, second opinion or advisory assignment;

information relating to your purchases of digital resources;

limited technical data, such as your IP address, browser information, device information and cookie preferences;

any other personal data you choose to provide to us.

Please do not share sensitive personal data unless it is strictly necessary for your enquiry or assignment. If such information is necessary, please contact us first so that an appropriate and secure method of transfer can be agreed.

3. Why do we process your personal data?

We process personal data in order to:

respond to questions and enquiries;

assess and prepare a potential collaboration;

enter into and perform an agreement with you;

provide reviews, second opinions, advisory services and digital resources;

process orders, transactions and payments;

manage our client relationships, administration, accounting and statutory obligations;

establish, exercise or defend legal claims where necessary;

protect, maintain and improve the security and operation of our website and professional services;

send professional updates, news or marketing communications when you have given your consent or when another lawful basis applies.

Legal basis for processing

Depending on the situation, we process your personal data on the basis of:

your consent, for example, for newsletter subscriptions, direct marketing where consent is required, or non-essential cookies;

steps taken at your request before entering into a contract, or the performance of a contract, for example, when assessing an enquiry, processing an order or carrying out an assignment;

a legal obligation, for example, in relation to accounting, tax and statutory record-keeping requirements;

our legitimate interests, for example, to manage and protect our website, professional services, business operations and legal interests, provided that your fundamental rights and freedoms do not override those interests.

Where we rely on your consent, you may withdraw it at any time. This does not affect the lawfulness of any processing carried out before your consent was withdrawn.

You are not legally required to provide personal data unless this is necessary to comply with a legal obligation. Without the information required to handle your request, however, we may not be able to respond to your enquiry, process your order or carry out your assignment.

4. Confidentiality of documents

Documents and other information you provide for a review, second opinion or advisory assignment are treated as confidential and protected through appropriate organisational and technical measures.

We use this information only for the purpose of assessing or performing the requested service and for related administrative, legal and professional purposes.

We do not disclose the content of your documents to third parties unless this is necessary to carry out the assignment, required by law, necessary to protect our legal interests, or agreed with you in advance.

Where external specialists need access to information in order to contribute to an assignment, we will limit the information shared to what is necessary and apply appropriate confidentiality and data-protection safeguards.

5. Who do we share your personal data with?

We do not sell your personal data.

To operate our business and provide our services, we may share limited personal data with carefully selected service providers acting on our behalf. These may include providers of:

website hosting and technical infrastructure;

email and professional communication services;

contact, intake and enquiry forms;

payment and transaction processing;

cloud storage and document management;

analytics and website security;

accounting and financial administration;

professional or legal advice.

Our current service providers include:

FEA (Female Entrepreneurs Association), the digital platform and infrastructure through which this website operates, including related online and email communication services;

Proctifin, Edegem, our accountant, which uses Exact accounting software for financial administration.

Additional technical providers may be involved depending on the final website configuration, including the services used for hosting, forms, email communication, analytics, payments and document storage.

These parties receive only the personal data reasonably required to perform their services. Where they process personal data on our behalf, they are required to process it in accordance with our instructions and to implement appropriate security and confidentiality measures.

Some service providers may process personal data outside the European Economic Area. Where this occurs, we ensure that an appropriate legal transfer mechanism is in place, such as an adequacy decision or approved Standard Contractual Clauses, where required by applicable data-protection law.

We may also disclose personal data where this is required by law, by a court or public authority, or where it is necessary to establish, exercise or defend legal claims.

6. How long do we retain your personal data?

We retain personal data only for as long as reasonably necessary for the purpose for which it was collected, including applicable legal, accounting and professional requirements.

As a general rule, we apply the following retention periods:

Contact details and enquiries: up to two years after the last meaningful contact.

Prospective client and intake information: up to two years after the enquiry or proposed collaboration ended.

Client and assignment files: for the duration of the collaboration and, in principle, up to five years afterwards, unless a longer period is necessary because of legal obligations, an ongoing dispute or the establishment, exercise or defence of legal claims.

Contracts, invoices, accounting records and supporting documents: ten years or for any longer period required under applicable Belgian law.

Newsletter and email-marketing data: until you unsubscribe or withdraw your consent, subject to the limited retention of information needed to record and respect your request.

Technical and analytics data: according to the retention periods applicable to the cookies and technical services used.

At the end of the applicable retention period, personal data is deleted, anonymised or securely archived where continued retention is legally required.

7. Cookies

Our website may use strictly necessary, functional and analytics cookies.

Strictly necessary cookies may be placed without consent where they are required for the website to function properly. Non-essential cookies, including analytics or marketing cookies where applicable, are only placed after you have given your consent.

For full details about the cookies and similar technologies used on this website, their purposes, providers and retention periods, please consult our Cookie Notice.

You can change or withdraw your cookie preferences at any time through the “Manage cookie preferences” link in the footer of this website.

8. Your rights

Under applicable data-protection law, and subject to the conditions and limitations provided by law, you may have the right to:

access the personal data we hold about you;

correct inaccurate or incomplete personal data;

request the deletion of your personal data;

request the restriction of the processing of your personal data;

object to certain processing activities, including processing based on legitimate interests and processing for direct-marketing purposes;

receive certain personal data in a structured, commonly used and machine-readable format, and have that data transferred to another controller where technically feasible;

withdraw your consent at any time, without affecting the lawfulness of any processing carried out before its withdrawal;

lodge a complaint with a competent data-protection authority.

To exercise any of these rights, please contact us at [email protected]. Please describe your request clearly. We may ask for additional information where this is reasonably necessary to confirm your identity and protect your personal data.

We will respond without undue delay and, in principle, within one month of receiving your request. This period may be extended where permitted by law, for example when a request is particularly complex or when several requests are received. If this happens, we will inform you.

You also have the right to lodge a complaint with the Belgian Data Protection Authority:

9. Security

We take appropriate technical and organisational measures designed to protect your personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure, unauthorised access and other forms of unlawful processing.

Access to personal data is limited to persons and service providers who need it for the purposes described in this Privacy Notice.

However, no method of transmitting or storing information can be guaranteed to be completely secure. If you believe that personal data you have provided to us may have been compromised, please contact us as soon as possible at [email protected].

We do not currently use solely automated decision-making or profiling that produces legal effects or similarly significant effects for you.

10. Changes to this Privacy Notice

We may update this Privacy Notice when our services, website configuration, service providers or legal obligations change.

The most recent version will always be available on this website. The date of the most recent update is shown at the top of this Privacy Notice.

Where an update materially affects how we process personal data, we will provide additional notice where required by law.
